All exhibition games must be approved by WMSC. Coaches/Managers must follow the guidelines detailed on this web page to obtain permission for an exhibition game (download a copy in pdf format).
There are 3 types of exhibition games. Each requires different preparation. All notifications go to reception@waterloominorsoccer.com. Once approved, teams will be notified by email with the proper paperwork.
FOR ALL REQUESTS, PLEASE ISSUE A SEPARATE EMAIL FOR EACH GAME OR EVENT.
1. Games between 2 WMSC Teams
Please notify by email of game details including:
- 2 teams playing
- Head Coach names for both teams
- Date of Game
- Time of Game
- Location
- Type of Game (9v9, 11v11)
- Specify indoor or outdoor
No minimum notification time is required (weekends excepted).
Waterloo vs Waterloo games do not require books; however, all players must be verified in the OSA database. THEREFORE, A ROSTER IS REQUIRED prior to approval.
2. Intra-District Events (& Exhibition Games)
Our SWRSA District includes Kitchener, Cambridge, Stratford, Orangeville, Fergus, Drayton, Elmira, Owen Sound (Dufferin, Grey, Perth, Waterloo and Wellington Counties).
This process takes a maximum of 10 business days. To avoid disappointment, give the Office extra time during the busy season. Please use a SEPARATE EMAIL for EACH game or event.
PLEASE USE THE FOLLOWING FORMAT IN THE SUBJECT LINE OF THE EMAIL REQUEST:
Example: Xgame Request – U13A Boys Jan 9, 2013 Head Coach Name
- Both teams must be in possession of valid Player Books.
- Hosting Party's Contact information (name, address, OSA #, phone, fax, email, website)
- Event Date/Location/Time
- Team's OSA number.
- The requesting teams age group, gender and name. (i.e. Waterloo United U13B girls)
- Coach information (name, address, postal code, phone number, work phone number, email and OSA number)
- Manager information (name, address, postal code, phone number, work phone number, email and OSA number)
- Specify indoor or outdoor and type of game (i.e. 7 v 7, 9 v 9, 11 v 11 indoor or outdoor)
- Full opposing team name, club, and contact information.
NOTE: The office of the HOSTING Club seeks approval from the District. WMSC does not initiate the approval process if NOT hosting. It is up to the HOSTING TEAM to do this with its Club.
Remember that WMSC requires approximately 7 business days to validate player books for exhibition games. Incomplete information will cause a delay in processing your request. In order to avoid disappointment, exhibition games and tournaments should be planned and declared well in advance.
3. Out-of-District (Inter-District) Events:
An out of district exhibition game is when two teams belong to different districts. We belong to SWRSA. It could take up to 10 days, so in order to avoid disappointment, give the Office extra time during the busy season. AN ATF cannot be processed without OSA numbers. Both teams must be in possession of valid player books. When travelling to an exhibition game, please apply for your ATF right away.

Example: Travel Permit Request – U13A Boys West Niagara Invitational Tournament May 4, 2013 Head Coach Name
If your team is planning on hosting or travelling to play a team outside of SWRSA (tournament, exhibition game, etc.), the following information is required so that the office can process your request. Incomplete information will cause a delay in processing your request.
- Date(s) of the event/game/tournament and include days of travel
- Tournament Name
- Hosting Party (of tournament/game)
- Hosting Party's Contact information (name, address, OSA #, phone, fax, email, website)
- Team's OSA number. When an ATF is required, the request CANNOT be processed without it OSA numbers. (Note: the team OSA number is on YOUR ROSTER.)
- The requesting teams age group and name. (i.e. Waterloo United U13B girls)
- Coach information (name, address, postal code, phone number, work phone number, email and OSA number)
- Manager information (name, address, postal code, phone number, work phone number, email and OSA number)
- Please specify: indoor or outdoor game and type of game (i.e. 7 v 7, 9 v 9, 11 v 11 indoor or outdoor)
- Full opposing team name, club, and contact information
- It could take up to 10 days, so to avoid disappointment, give the Office extra time during the busy season.
- AN ATF cannot be processed without OSA numbers
- The Hosting or Home team is responsible to collect the Visiting Team’s ATF and submit to the Office.
- Both teams must be in possession of valid player books.
- NOTE: Anyone playing in a series of Exhibition games and is listed as a HOME TEAM must fill out an AHEG even if we are not the Club initiating the games.
- Once an AHEG has been requested, please STAY in contact with the other team’s manager or coach (whoever is responsible for travel permits) to receive their Travel Permit. (ATF)
